This Privacy Policy explains how Executive Branch Technologies, Inc. collects, uses, stores, shares, and protects information through Crown Chapter™, including the Website, App, waitlist, platform features, communications, and related services.
2. Information We Collect
- Account Information: name, email address, username, authentication identifiers, account settings, role, permissions, organization affiliation, chapter affiliation, and profile information.
- Identity and Verification Information: information used to support account verification, membership verification, student status verification, officer role verification, alumni status verification, Trust Passport features, verified records, and credential workflows.
- Organization Information: chapter name, organization name, school name, alumni group, role, office held, roster data, event data, dues information, service hours, study hours, attendance records, and organizational records submitted by authorized users.
- User Content: posts, messages, comments, files, documents, photos, event entries, reports, records, notes, directories, forms, and other materials submitted through the Platform.
- Usage, Device, and Technical Information: pages viewed, features used, buttons clicked, session activity, device information, log data, error reports, analytics events, access times, referral URLs, browser type, operating system, IP address, approximate location, authentication logs, cookies, and API activity.
- Location Information: approximate location from IP address and, where enabled by the user or required for a feature, location-supported check-ins or event attendance features.
3. How We Collect Information
We collect information directly from you, from authorized chapter, alumni, administrator, or headquarters users, from your use of the Website and Platform, from cookies and similar technologies, from service providers and integrations, and from organizations that use Crown Chapter™ with authorized access.
4. How We Use Information
We use information to operate and provide Crown Chapter™, create and manage accounts, process waitlist submissions, verify users and records, support chapter operations, enable communication and events, support alumni engagement and mentorship, process dues and payment workflows through third-party providers, secure the Platform, prevent fraud and abuse, improve the Platform, send communications, respond to inquiries, enforce policies, comply with law, and develop new features.
5. How We Share Information
We may share information with service providers, authorized users within your chapter or organization based on role and permissions, payment processors, verification providers, law enforcement or legal authorities when required or appropriate, professional advisers, business transaction parties, and other parties with your consent or at your direction.
6. Service Providers
Crown Chapter™ may use providers for hosting, backend infrastructure, DNS, content delivery, databases, email delivery, authentication, payments, analytics, storage, monitoring, and security. These providers process information only as needed to provide services to us, subject to their terms, security practices, and applicable law.
7. Cookies and Tracking Technologies
We use cookies and similar technologies as described in the Cookie Notice. These technologies may support essential website functions, security, performance, analytics, preferences, and platform operation.
8. Data Retention
We retain information for as long as reasonably necessary to provide the Platform, maintain accounts, support organizations, comply with law, resolve disputes, enforce agreements, maintain security, prevent fraud, preserve audit logs, support legal rights, and operate business records.

We use administrative, technical, and organizational safeguards designed to protect information. These may include access controls, role-based permissions, authentication controls, audit logs, encryption in transit, monitoring, logging, secure infrastructure, vendor controls, and internal governance. No system is completely secure.
10. SOC 2 and Security Controls Notice
Crown Chapter™ may describe certain security controls as SOC 2-aligned or built with SOC 2-oriented practices. Unless we expressly state that an independent SOC 2 audit report has been completed and is available under appropriate confidentiality restrictions, Crown Chapter™ should not be understood as SOC 2 certified.
11. Children’s Privacy
Crown Chapter™ is not directed to children under 13 and does not knowingly collect personal information from children under 13. Users must be at least 18 years old to use the Platform.
12. Student and Educational Records
Unless Crown Chapter™ is operating under a written agreement with an educational institution that expressly designates particular data as subject to specific educational-record obligations, Crown Chapter™ records are not official school records, official transcripts, official enrollment determinations, official disciplinary records, or official institutional records.
13. Your Privacy Choices
You may request to access, correct, delete, or update certain personal information by contacting Legal@CrownChapter.app. You may unsubscribe from non-essential promotional emails using the unsubscribe link where provided or by contacting us. You may still receive service, transactional, security, legal, or account-related communications.
14. California and Other State Privacy Rights
Depending on your state of residence and whether applicable legal thresholds are met, you may have rights to know, access, correct, delete, port, restrict, or opt out of certain uses or disclosures of personal information.
